Managing the Details Ensures Success!
Follow these simple guidelines and train volunteers accordingly to ensure a smooth check out process and seamless restocking of fast-moving titles.

Check Out Procedures
You want the check out process to be a positive experience for all by moving your lines quickly. Here's how:

  • Designate a table for the check out area and gather your cashier supplies. Make sure there is adequate space for two lines to form during busy times. Need more space? Consider moving the check out into the hallway, as well as having a Credit Cards only line, especially during Family Events.
  • Schedule at least one cashier on duty during fair hours; more may be needed for busy times and family events.
  • Design your checkout system to accommodate shoppers quickly. During peak hours recruit an assistant cashier to call out prices, bag purchases and assist young shoppers.
  • Start each day with $50–$70 in bills and change.
  • Checks are payable to your school or organization. Use your school or organization stamp to speed up check writing.
  • Keep a sales tax chart handy when totaling purchases.
  • Make copies of Book Fair Receipts (PDF Form 64K) for customers that request a receipt for their purchases.
  • Balance the cash drawer at the end of each shift.
  • Use the Daily Sales Report (PDF Form 82K) to record each day's proceeds.
  • Deposit proceeds in the bank or school safe.

Restock Process
It's time to restock when you notice a book is selling out and your family event is around the corner.

  • Restock Order Forms and instructions are located online in your Chairperson's Toolkit. Print your Restock Order Form and keep it on the cashier table — it doubles as a price sheet.
  • Set up a binder for volunteers to list the fast moving titles that need to be restocked. Details for pre-paid orders can also be listed here — i.e. student's name, grade, teacher name, and amount paid. Make certain to note the phone number of any non-students who place prepaid orders.
  • Check bookcases and boxes to make sure there are no additional copies on hand.
  • Watch for books with Last Copy Notice (PDF 44K) at the check out; add these to your list.
  • Have volunteers monitor what is selling quickly and write down low-stock titles.
  • Place one final order on outstanding pre-paid items at the end of the Fair.
